1. Information we collect

Enquiry information

  • Name and email address.
  • Country or region of residence, travel dates, traveler numbers and general group composition.
  • Destinations, interests, pace, comfort preferences, budget range and planning questions.

Client and itinerary information

  • Questionnaire responses, existing itinerary or reservation information you choose to share, preferences, messages, feedback and revision requests.
  • Limited mobility, allergy, dietary or accessibility requirements where relevant.
  • Drafts, recommendations and final itinerary materials.

Contract and transaction information

  • Selected service, quotation, order reference, contract acceptance and consent records.
  • Billing name, amount, currency, PayPal transaction status, limited payment reference, refund and complaint information.

PayPal processes full payment-card or bank details. We do not receive or store full card numbers, security codes or online-banking credentials. Website, form and security providers may also process IP address, browser and device type, access time, requested page, referral data and essential diagnostic records.

2. How we receive information

Most information comes directly from you when you submit the website enquiry form, email us, accept a quotation, pay through PayPal, request a revision or make a complaint.

The website enquiry form is transmitted through Formspree and forwarded to our Gmail inbox. PayPal sends us limited transaction and payer information when you pay or receive a refund. The website may be delivered through Tencent Cloud Object Storage in Hong Kong, OpenAI’s Sites hosting environment or related delivery and security infrastructure, depending on the visitor’s route and the version of the site in use.

3. Information you should not send

Do not send passport or identity-document scans, visa application files, full card or bank details, precise real-time location, or detailed medical records through the enquiry form or ordinary email.

If limited information about mobility, allergies or dietary restrictions is genuinely necessary for planning, we will explain the purpose and obtain separate express consent where required. Unnecessary sensitive information will be deleted as soon as reasonably practicable after discovery.

4. Why we use information

  • To answer an enquiry and assess service fit.
  • To prepare, revise and deliver a plan and perform the service contract.
  • To administer payments, refunds and legally required business records.
  • To secure and troubleshoot the website and prevent abuse.
  • To handle requests, complaints and legal claims.

Depending on the law that applies, these uses rely on steps requested before a contract, contract performance, legal obligations, legitimate operational interests, or separate consent. We collect only information reasonably necessary for these purposes. We do not sell personal information, use it for targeted advertising or maintain a marketing-email list at launch.

These providers may process information in China, Hong Kong, the United States or other locations used for their services. We operate from Beijing and access customer information in China. Privacy and government-access standards may differ between countries. Where law requires notice, separate consent, a contract, assessment or another transfer safeguard, we complete that step before the relevant transfer.

We may also disclose limited information to accountants, lawyers, insurers or technical providers under confidentiality obligations; to authorities where law or valid process requires it; or to a successor if the business is reorganised. We do not send traveler details to a travel supplier merely because we recommend it.

When a period ends, we delete or irreversibly de-identify information, or restrict it if immediate deletion is technically impossible or a legal hold applies.

7. Security

We use proportionate measures including restricted account access, two-step verification, encrypted local storage, supported software, secure transmission provided by service providers, limited collection and a deletion process. No internet transmission or storage system is completely secure. If an incident creates a legal notification duty, we will notify affected people and authorities as required.

8. Your rights

Depending on applicable law, you may ask us to explain our processing, provide access or a copy, correct information, delete it, restrict or object to processing, provide portable data, or record withdrawal of consent. You may also complain to a competent privacy or consumer authority.

Email chinaclearly@gmail.com. We may request proportionate information to verify your identity. We acknowledge receipt within 2 business days and aim to provide a substantive response within 10 business days unless applicable law requires another period.

9. Children and companion information

The website and paid service are directed to adults. We do not knowingly collect enquiry or payment information directly from anyone under 18. An adult may provide a child traveler’s age range and practical needs when necessary for a family itinerary. Do not provide a child’s full name, identity document, school or unnecessary health information.

10. Cookies and similar technologies

We do not currently place optional analytics, advertising or marketing cookies. Hosting, form and security providers may use strictly necessary technologies to load the site, transmit a form, balance traffic or prevent abuse. Before adding non-essential analytics or advertising technologies, we will update this policy and introduce any required consent control.

11. Third-party links and changes

Our website and itineraries may link to authorities and independent suppliers. We do not control their privacy practices. Review the relevant provider’s notice before submitting information or making a booking.

We may update this policy when our practices or obligations change. The effective date identifies the current version. If a material change affects information already collected, we will give additional notice or request consent where required.
